If your business uses Google Workspace Business Standard or Business Plus, Google Meet may now be taking AI notes of your meetings automatically. A change that took effect on 29 September switched this on by default for meetings with three or more people.
What’s happened
On 22 September Google confirmed the date for a new setting in “Take notes for me”, the Gemini feature that writes up notes of a Google Meet call. Administrators can now have notes taken automatically, but only in meetings with three or more people.
For Business Standard and Business Plus, the plans most small businesses use, the new setting is on by default. It’s off by default for Enterprise Standard, Enterprise Plus, Frontline Plus and the AI Pro for Education add-on. Google first announced the change in July and it took effect for users on 29 September.
Administrators set the default in the Google Admin console, and each person can change it in their own Meet settings, for example to “For all meetings I host with 3+ guests” or to turn it off.
What it means for your business
AI notes are genuinely useful for internal meetings. But a written summary of a client call, a supplier negotiation or an HR conversation is a record your business now holds, and possibly one nobody meant to create.
Under UK GDPR, people should know when information about them is being recorded and why, and you shouldn’t keep personal data for longer than you need it. Notes that appear automatically make both harder to manage unless you’ve decided how they should be used.
What to do now
- Decide on your default. Check the “Take notes for me” setting in the Google Admin console and choose whether automatic notes should be on for your business.
- Tell your team how it works, including how to turn it off in their Meet settings for sensitive calls such as HR or confidential client meetings.
- Let clients know if your meetings may be summarised by AI, and update your privacy notice if needed.
- Decide how long meeting notes are kept and where they’re stored, and tidy up any you don’t need.
